Many organizers finish an event and send sponsors a few photos plus “thank you.” That misses the chance to prove value. A strong post-event report shows what happened, who participated, what the sponsor received, and what should happen next.

Many organizers finish an event and send sponsors a few photos plus “thank you.” That misses the chance to prove value. A strong post-event report shows what happened, who participated, what the sponsor received, and what should happen next.

    The 10-minute report structure

    Use eight sections:

    1. Event summary
    2. Attendance
    3. Ticket sales
    4. Audience profile
    5. Sponsor visibility
    6. Engagement
    7. Activation results
    8. Next steps

You can build the first version quickly if your event data is already organized.

    Start with verified numbers

Use actual ticket and registration records. If attendance is scanned, use the scan report rather than estimating from the number of tickets sold.

    Separate:

    • Tickets sold
    • Tickets refunded
    • Tickets scanned
    • Registered but absent

This makes the report more credible.

    Show sponsor visibility

List where the sponsor appeared: stage, screen, registration area, social posts, event program, media content, or product activation.

Add photos where possible. A sponsor should be able to see the promised placement in the real event.

    Measure engagement

Depending on the event, report social views, reactions, comments, content clicks, QR scans, registrations, survey responses, or other useful actions.

Do not mix impressions with unique people unless you know the difference. Use the metric name exactly as reported by the platform.

    Report activations, not just logos

A logo on a poster is exposure. An activation is an action.

    For example:

    • Number of samples distributed
    • Number of competition entries
    • Number of leads collected with consent
    • Number of QR scans
    • Number of product demonstrations

Choose metrics that match the sponsor's goals.

    Explain what worked

    Add three short insights:

    What worked: the strongest result.

What surprised us: a result that changed expectations.

What we will improve: one clear change for the next event.

This makes the report useful instead of just descriptive.

    Include the financial story carefully

If the sponsor asks for ticket or revenue data, show the agreed figures and explain whether they are gross or net.

Do not share private attendee information simply to prove attendance. Use totals and aggregated data where possible.

    End with the next opportunity

The final page should answer: what can the sponsor do next?

Offer the next event, a repeat partnership, a bigger activation, or a new audience opportunity.

A sponsor report is not only a report. It is the first page of the next proposal.

Build the report from your event dashboard

If your ticketing and registration system can export sales, attendance, and engagement data, the report becomes much faster to produce.

Use the event registration and ticketing guide to plan the data you should collect before the event.

    The simple rule

Every number should answer a sponsor question: Did people come? Did they see us? Did they engage? Did the activation happen? Was the event well run? What comes next?

Keep the report short, visual, and evidence-based. Sponsors do not need every raw row. They need the story the data can prove.

Turn event data into sponsor value with Aspec Hub

The best sponsor report starts before the event ends. Aspec Hub helps organizers collect useful ticketing, registration, attendance, and voting data that can be turned into a clear post-event report.

Instead of spending days rebuilding figures from different sources, your team can work from event data already captured in the platform. Use Aspec Hub to make your event easier to measure and your next sponsor conversation easier to support with real numbers.
